Public Library Archives & Special Collections Section Meeting 

Society of American Archivists

Present: Heather Lowcock, Erinn Barnes, Aimai Reporter, Catherine Tremblay 

Agenda: 

Approval of February Minutes 

Coffee Chat Debrief 

Group consensus was that it was a successful first foray into a coffee chat!

Key takeaways:

• small/short presentations before discussion
• find a way to engage attendees through polls, surveys, or some other response tool.
• Will plan to do one in the fall. 

Annual Section Meeting: 

Schedule Annual Section Meeting (sometime between July 1 and August 1) 

July 16 at 12:00 pm MT was decided on by all as date for Meeting.

Erinn scheduled meeting with SAA, will be on Webex. 

Meeting Structure:

• Open House/Introduction
• Section Business
• Presentation of 20 minutes
• Some discussion on whether or not we want to do breakout groups during annual section meeting. No decisions were made on this. 

Content of Section Meeting:

• Presentation will focus on information activism with an emphasis on how this is done in public library archives.
• There was some discussion on whether we would focus on description or programming, with the point made that good description creates opportunities for programming. 
• Heather L. will post a call for presenters in the Listserv.
• Erinn will reach out to Colorado public libraries for any potential presenters.

Election:  

Open elected seats are Co-Chair and Secretary 

One At-Large member to be appointed 

One Webmaster to be appointed: will call for expression of interest in section meeting (Aimai will stary on for the next year)

Do we know anyone who is interested?  

Timeline for elections: 

• Early May, issue call for candidates. Erinn will draft this call and send out by May 2nd. Aimai will post on microsite. 
• Mid-May, Prepare and post Candidate Statements
• June 2: Ballot info due to SAA
• June 25-Jul 16: Ballots open
• July 23: Results are available
• August 1: Updates to section roster due
