The meeting was called to order at 7:30 AM on Friday, August 5th, 2016, by Shannon Erb.
The Chair welcomed attendees, reviewed the agenda, and explained the use of the “Feedback Bucket”- a way for attendees to give anonymous feedback. The Chair then gave an update on the “Voices from VMCAR” column and asked for participants to consider being interviewees. The incoming Chair Elect, Sharon Mizota, was announced and while she was absent from the meeting- gave a written acceptance speech to the group. The Chair thanked the group for allowing her to serve on the leadership roster for VMCAR. The remaining 45 minutes consisted of a panel of speakers presenting on topics related to “item vs. collection level” cataloging/processing and a Q&A ensued. Tricia Gilson, the Archivist and Curator at the Columbus Indiana Architectural Archives, discussed organizing materials not by item or collection, but by project, and creating artificial collections from this. Jennifer Whitlock is the first Archivist at the Vignelli Center for Design Studies at Rochester Institute of Technology discussed design-specific controlled vocabularies and metadata schema. Sandra Varry, the Heritage Protocol and University Archivist at Florida State University was joined by her colleague Matthew Miguez, a Metadata Librarian, in addressing backlog of digitized images and their workflow for describing them and challenges to having them. Ashley Levine, the Archivist and Digital Resource Manager at Artifex Press lead the group through a discussion of embedded metadata in negotiating item level versus collection level cataloging and the tools he uses to do this. Council rep, Kris Kiesling, gave a brief update on the council’s adoption of the Member Affinity Group Proposal. The meeting was adjourned at 9:00 AM.
