SAA Education Policies and Procedures

The Society of American Archivists is committed to providing quality continuing education that is relevant and accessible to professional archivists via a variety of delivery methods. The following Education Policies and Procedures are presented for your information.

Hosting SAA Courses

Organizations/entities that host courses with SAA receive the following support from SAA as standard policy:

  1. Instructor(s) with travel and expenses paid
  2. Instructional materials, including handouts and readings, nametags, registration of participants, and Continuing Education Certificates for registered participants
  3. One complimentary registration if minimal beverage breaks (coffee, tea, water), appropriate classroom space, and AV equipment are provided at no cost to SAA
  4. Classroom space and A/V equipment required for the course (varies)

Product Endorsement

SAA Education will include the following disclaimer statement on any material, including announcements and correspondence, which includes software/tool product name and/or logo:

“The instructor utilizes [name] to facilitate teaching the content of this course. The use of [product] does not represent or imply SAA endorsement of this product.”

  • SAA Education encourages the use of software and tools that are open source (i.e., meet the 10 criteria of open source software cited at http://opensource.org/docs/osd).

Registration for Courses

Full payment must accompany registration submissions. Registrations not accompanied by full payment will be placed on hold until payment is received. Registrations are processed on a first-come, first-served basis. To avoid being double-billed, do not send your registration via more than one method. To register, participants may submit completed registration forms online, via mail, or via fax (with credit card number). Please do not fax your registration if you’ll pay by check.

SAA accepts checks made payable to SAA, as well as credit cards issued by VISA, MasterCard, or American Express. Payment must be made in US funds. 

Early Registration Discount

Participants who submit a completed SAA Registration Form, including full payment, prior to the "Early Bird" date listed on the course page receive a 25% discount.

Registration Limits

For an in-person course to be offered, minimum enrollment (varies by course and location) based on expenses must be reached 30 days prior to the date of the course.

Course Cancellation

In-person courses are subject to cancellation 21 days prior to the scheduled date of the event if the minimum enrollment is not attained. Instructors and registered participants will be notified immediately after the 21-day deadline in the event of cancellation.

Registration Refunds/Transfer

Courses canceled by SAA will result in full and prompt refunds to registered attendees. In the event that an attendee must cancel his/her registration, the following stipulations apply:

  1. Participants must cancel their registration in writing (email is acceptable) 5 business days prior to the first scheduled day of the workshop to receive a full refund, minus a $35 administrative fee.
  2. Participants may not receive a refund for a course if cancellation is received less than 5 business days prior to the first scheduled day of the course.
  3. If you prefer to transfer to a different course, notice is required (email is acceptable) 5 business days prior to the first scheduled day of the course for a $15 administrative fee.
