PLASC Meeting Minutes 2019 April 22

PLASC April Meeting

April 22, 2019, 3pm ET

Minutes taken by Lauren

Meeting starts with google hangouts troubles. We’ll use WebEx from here out

Intern

Lauren submitted our request for an intern.

The 2019-2020 internships have posted and are open for applications until May 15

Questions:

  • Who will supervise?  Would be good to have point-of-contact - one steering member’s specific role for the year

  • Will there also be SAA point of contact/supervisor?

  • Angela has summer intern syllabus - week by week deliverables - would be good to follow that format with concrete monthly goals

Twitter

Lauren follows up on last meeting’s news that we need an email to set up the Twitter account

  • Asked other leaders for advice and heard back from Acquisition & Appraisal and Business sections that they have section google accounts.

  • This also makes sense for PLASC as we are using Google docs for administration and will also use for newsletter.

  • Lauren created a google account PubLibArchives and centralized login info in “Twitter” doc.  Will turn this document into general communications documentation and reshare

Newsletter

  • Patricia recommends newsletter template in Google docs

    • A lot easier than canva so more practical

    • Clean and neat template

    • Send out every month via listserv

    • Suzanne had noted mailchimp had issues with images

    • Can centralize content in Google Drive to pull into newsletter

  • Content

    • Focus more on centralizing links to opportunities and our announcements than creating content

    • Aim to send out first in May following twitter launch in April

    • Ideas for first issues -

      • Share Elevator pitch 1pager and bookmark

      • 2018 survey results

      • Try to get out in time to share lightning talk opportunity

  • Submission guidelines for members?  Society of California Archivists has one we can model on. Patricia will work on adapting their guidelines to suit our needs and will add to the Communications documentation

  • Need an editorial process - single person should be editor

    • Would Heather be interested?  She’s a great proofreader

    • Angela interested in being backup

Proposal accepted for California Library Association conference lightning talk in October

  • Patricia submitted - proposal is here

  • Will be after annual, newsletter and social media will be established

  • Angela may submit similar proposal to Georgia Archivists conference

  • Can also be part of annual meeting lightning talks

Bookmark feedback

  • Text appears to be going over the images - font not available to most folks when opening in publisher so that may be causing the issue

  • Publisher and PowerPoint don’t seem ideal for design - Maybe we should try going back to canvaa where design could be shared for editing and fonts shouldn’t change

  • What about also including preservation resources on back?

  • Would be good to include citation for image sources

  • What about adapting Angela’s public library archives for the front to make message advocacy oriented - support your local public library special collections - call to action

  • Angela happy to help w/replicable part of that document or using canvaa

Starting Google Drive centralization w/ new google account

  • Angela will create new folder and coordinate migration w/Suzanne

  • Everyone should move over any documents and make PubLibArchives owner

  • Survey info, communications documentation, and meeting minutes all need to move

Annual meeting

  • Section meetings now occur a day before educational sessions rather than integrated.  May result in lower turnout

  • We’ll see how this year goes but may no longer be good platform for public library lightning talks/advocacy to wider audience. If so, consider returning to model of section putting together session proposals.

Lauren will send out May meeting scheduling
